The Perfect Dispatch Workflow
Successful Meesho sellers don't just sell products — they run highly efficient logistics mini-hubs. If your order dispatch process is chaotic, you will suffer from high RTO (Return to Origin) rates, wrong product dispatch penalties, and exhausted warehouse staff.
This guide breaks down the ideal, error-free Meesho order dispatch workflow that top sellers use to process 500+ orders a day seamlessly. Follow these phases in order, every single day.
7-10 AM: Accept orders & download labels → 10 AM-1 PM: Crop, print, pack → 2-6 PM: Courier pickup & manifest handover
Phase 1: Accept & Download (Pre-11 AM)
Your dispatch day starts early. The critical cutoff is 11:00 AM — downloading labels before this time triggers same-day pickup with the courier partner.
Accept All Pending Orders
Log in to your Meesho Supplier Panel. Go to Orders → Pending. Use the "Breaching Soon" filter to prioritize orders nearing their SLA deadline. Accept all orders to move them to the "Ready to Ship" tab.
Bulk Download Labels
Go to Ready to Ship. Select all orders (in batches of 30-50 for best performance) and click "Download Label". This downloads a single PDF containing all selected shipping labels. For the complete label download guide, see our article on How to Generate Meesho Shipping Labels.
Labels downloaded before 11 AM = same-day pickup (2-6 PM). Labels downloaded after 11 AM = next working day pickup. Every 24-hour delay increases customer cancellation risk.
Phase 2: Process & Print Labels
Never hand raw A4 PDFs to your packing team. It leads to wasted paper, confused packers, and unscannable barcodes. Instead, process your labels to make them "Warehouse Ready."
Automate with SKU Sorting
Upload your raw Meesho PDFs into our Label Crop Tool. Enable SKU Sorting. The tool groups all identical orders together (e.g., all 50 Red Kurtis, then all 30 Blue Kurtis). Your packer only walks to the "Red Kurti" bin once, cutting packing time by 50%.
Print on 4x6 Thermal
The tool automatically crops the labels to perfectly fit a 4x6 inch thermal printer. Print them out — they will be in the exact SKU-sorted order you configured. If you don't have a thermal printer, you can also print 4 labels per A4 sheet.
Enable Courier Sorting
Also enable Pickup Partner Sorting in the tool. This groups all Delhivery labels together, then Xpressbees, then Ecom Express. When the courier agents arrive, you can hand them pre-sorted sacks — no confusion, no misrouted packages.
Phase 3: Packaging Rules & Guidelines
Meesho has strict packaging guidelines. Violating these results in packages being rejected at the courier hub or customers receiving damaged goods — both leading to costly RTOs.
| Packaging Element | Meesho Rule | Best Practice |
|---|---|---|
| Outer Material | Must be opaque (non-transparent) | Use 50+ micron tamper-proof polybags |
| Branding | NO external branding allowed | Use plain white or grey courier bags |
| MRP Display | NO MRP on the outer package | Keep price tags inside the package only |
| Label Placement | Must be flat, not folded on edges | Paste in the center of the largest flat side |
| Fragile Items | Must use double-box method | Bubble wrap + corrugated box + filler material |
| Tape | Do not place tape over the barcode | Use self-adhesive thermal labels instead |
Ensure the weight you entered during product listing matches the actual package weight. Discrepancies can lead to additional weight-based shipping charges deducted from your settlement. Weigh your packed products on a digital scale.
Phase 4: Quality Check Before Sealing
This is the step most sellers skip — and it costs them dearly. "Wrong Item Sent" is one of the top 3 reasons for returns on Meesho.
SKU-Based Visual QC
Since your labels are SKU-sorted, your packer knows exactly what goes into the next 50 bags. Have a second person do a rapid visual QC: does the item match the label? Is the correct size/color? This 10-second check cuts "wrong item" returns by 80%.
For high-volume operations (200+ orders/day), consider a dedicated QC station between the packing table and the sealing station. The QC person simply scans the label's SKU and visually confirms the item before sealing.
Phase 5: Manifests & Courier Handover
The courier agent typically arrives between 2 PM and 6 PM. How you handle this handover determines whether your orders get tracked properly or go missing.
Common Mistake: Handing over a mixed pile
Giving a mixed pile of Delhivery, Xpressbees, and Ecom Express packages to one agent guarantees some packages will be scanned incorrectly or end up in the wrong logistics network.
Use the "Sort by Pickup Partner" feature in our Label Tool. Put all Delhivery packages in one sack and Xpressbees in another. Hand each sack only to the correct agent.
The Manifest: Your Insurance Policy
Always print the Order Manifest from the Meesho panel. This is a list of all AWB (Air Way Bill) numbers assigned to a specific courier for that day.
- Print two copies of the manifest.
- Hand one copy to the pickup agent.
- Get both copies signed by the agent with date and time.
- Keep one signed copy for your records.
If a package goes missing before it reaches the hub, this signed manifest is your only proof that you handed it over. Without it, you cannot claim compensation. Learn about common handover mistakes in our Top 10 Label & Packaging Mistakes guide.
The Next Day Dispatch (NDD) Advantage
Once you perfect this workflow, you should enroll in the Next Day Dispatch (NDD) program. This is one of the most powerful growth levers on Meesho.
- Requirement: Dispatch all orders within 24 hours of receiving them.
- Reward: Meesho adds an NDD badge to your products, which significantly increases conversion rates (customers prefer faster delivery).
- Visibility Boost: NDD products are ranked higher in Meesho's search algorithm, giving you more organic traffic.
- Eligibility: Maintain a dispatch SLA compliance rate above 95% for at least 2 weeks.
Sunday Dispatch Program
If you struggle with high order volumes on Mondays (due to weekend order accumulation), consider enrolling in the Sunday Dispatch Program:
- Register via the Support section of your Supplier Panel.
- Courier pickups will be arranged on Sundays for registered sellers.
- This balances your workload and reduces Monday backlogs.
- Faster dispatch on weekend orders improves customer satisfaction and reduces RTOs.
Common Dispatch Errors & Penalties
Meesho currently operates a "Zero Penalty" policy for order cancellations, but poor dispatch practices still hurt your business:
| Error | Consequence | Prevention |
|---|---|---|
| Late dispatch (SLA breach) | Order auto-cancelled; reduced visibility | Download labels before 11 AM daily |
| Wrong item sent | Guaranteed RTO + negative rating | SKU sorting + visual QC before sealing |
| Unscannable barcode | Package stuck in hub → RTO | Use label cropper + thermal printer at 300 DPI |
| Direct shipping (outside Meesho) | ₹5,000 penalty + account deactivation risk | Never ship directly; always use Meesho logistics |
Frequently Asked Questions
If the pickup agent fails to arrive by 7 PM, raise a ticket immediately in the Support tab under "Pickup Delay" or "Courier Boy Did Not Arrive." This creates an official record and ensures you are not penalized for late dispatch (SLA breach).
No. Meesho strictly requires sellers to use plain, non-transparent packaging without any external branding, logos, or adhesive tape with brand names. If you use branded boxes or tape, the courier hub may reject the shipment.
You can start with a regular A4 printer, but a 4x6 thermal printer is highly recommended once you cross 20 orders/day. Thermal printers don't use ink, print much faster, and produce waterproof, scannable barcodes. See our thermal printer guide for recommendations.
NDD requires dispatching all orders within 24 hours. In return, your products get an NDD badge that boosts visibility and conversion rates on the platform. You need to maintain 95%+ dispatch SLA compliance for at least 2 weeks to qualify.
The signed manifest is your only legal proof of handing over packages to the courier. Without it, you cannot claim compensation for packages lost before the first hub scan. Always print two copies and get both signed by the pickup agent.
